01Who is responsible

SpeakCapsule (speakcapsule.com) is operated by Nguyen Phung Hung (Hung Nguyen), Vietnam. In this policy, “we” means the operator of SpeakCapsule. For privacy questions or requests, contact temredalert3@gmail.com.

This policy covers our website, accounts, IELTS Speaking practice, mock exams, AI conversations, learning tools, community features and support services.

02Information we collect

The information involved depends on which features you use:

  • Account and profile: email address, account identifier, display name, avatar, student/teacher role, sign-in details and language preferences. Password authentication is handled by our authentication service.
  • Learning activity: questions, your answers and transcripts, saved speaking recordings, feedback, estimated scores, vocabulary, target bands, exam dates, practice history and streaks.
  • AI conversations and coaching: conversation turns, generated scenes, mission progress, reviews and learning-memory summaries linked to your account and relevant answers.
  • Community and rewards: profile information you share, friend interactions, messages, collections, virtual balances, event participation and challenge results.
  • Payments: membership status, payment-provider/customer identifiers, orders and transaction records. Card or bank-payment details are handled by the payment provider; we do not store complete card numbers or card security codes.
  • Support and technical data: reports, feedback, up to two attached screenshots, relevant app/browser diagnostics, usage and AI-token counts, errors, IP/network information and security logs. Avoid putting passwords, payment details or other sensitive information in reports or practice answers.

03How Google sign-in data is used

If you choose Google sign-in, Google and our authentication provider supply an account identifier, email address and basic profile information such as your name and profile picture, when available. We use this to authenticate you, create or link your SpeakCapsule account, display your profile and protect account access.

We request identity, email and basic profile permissions only. We do not request access to Gmail messages, Google Drive files, your contacts or your calendar. We do not sell Google user data, use it for advertising, or use it to train general-purpose AI models. Basic profile details such as your chosen display name may be used to address you in the coaching you request.

SpeakCapsule’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements. You can revoke Google access in your Google Account. Revoking access does not itself delete your SpeakCapsule account or existing learning history; contact us separately if you want those deleted.

04Why we use your information

We use information to run your account, save and sync practice, provide transcription and feedback, personalise learning, deliver conversations and audio, administer memberships and rewards, respond to support, prevent abuse and understand service reliability and costs.

Where applicable law requires a legal basis, we rely on performing our agreement with you for requested services; our legitimate interests in operating, securing and improving the service, balanced against your rights; legal obligations for relevant records; and consent where required, including permissions for microphone access. You can stop recording or revoke microphone permission in your browser.

05Voice, AI processing and learning memories

Recording starts when you use a microphone feature and grant permission. Speaking-practice recordings you save are stored so you can replay and review them. Conversation Arcade voice turns are processed to produce transcripts; the app does not keep those raw microphone clips as a permanent recording library. Transcripts, conversation history and reviews can still be saved.

Audio may be transcribed by our hosted Whisper service or AssemblyAI. Relevant audio or acoustic measurements can also be processed for pronunciation feedback. Answer text, question context and selected learning evidence may be sent to our hosted AI, OpenAI or Anthropic to provide feedback, hints, grading, reviews or personal notes. Cloud services may also be used when hosted services are busy or unavailable. Spoken character replies can be generated by our hosted speech service or OpenAI speech fallback.

For eligible personalised coaching, learning memory is enabled by default. It stores selected mistakes, strengths, vocabulary or grammar patterns, practice suggestions and score observations, with excerpts and links to relevant answers. Relevant memories are retrieved for coaching; we do not need to send your whole learning history on every request. These are AI-generated learning observations, not verified facts about you or an official assessment.

Current personalisation uses stored context, not a model trained separately on your voice. We do not use your private recordings or answers to train a general-purpose model as part of the current service. Any future optional use for model training would require a separate explanation and your affirmative opt-in. Contact us if you want learning memories deleted or want to discuss how they are used.

06Service providers and other recipients

We share the information needed to provide a feature with service providers: Supabase for accounts, database and storage; Vercel and Cloudflare for hosting and delivery; AssemblyAI for cloud transcription; OpenAI and Anthropic for enabled AI functions; Brevo for transactional email; and Stripe or payOS for payments. Our operator-managed model servers also process learning content. Not every provider is involved in every request.

Authorised administrators may access records when necessary for support, security, billing or operating the service. Community information and messages are visible to the people or audiences the feature indicates. Do not post anything you do not want that audience to see. Public challenge boards may show your display name, avatar and participation results.

We do not sell personal information or share it for targeted advertising. We may disclose necessary information to comply with lawful requests, protect users and the service, or handle a business transfer subject to appropriate protection and notice where required.

07Storage, retention and international processing

Your information may be processed in Vietnam, the United States and other countries where our infrastructure or providers operate. Their laws may differ from yours. We use provider agreements and safeguards appropriate to the processing, and apply legally required transfer protections where applicable. Each provider’s retention and processing terms also apply to the copy it receives.

We retain account and learning records while they are needed to provide your account, history and requested features. The retention criteria include the purpose of the record, your deletion requests, operational needs, security, disputes and legal recordkeeping. Learning summaries may remain after an individual source recording is deleted, so ask to delete learning memories as well if that is what you want.

We request deletion of completed cloud conversation transcription jobs where supported. Failed jobs, temporary caches, backups and provider security records may follow a different retention cycle. Deleting an item does not guarantee immediate removal from every backup or provider system. Necessary billing, fraud-prevention or legally required records may be retained after account closure.

08Cookies and browser storage

We use cookies and browser storage for sign-in sessions, authentication security, language, theme, accessibility and sound preferences, local practice/cache data, and whether notices or event announcements have been seen. Deleting browser data can sign you out and remove unsynced local content.

Our current app does not use advertising cookies or a third-party advertising network. Hosting and service providers may process operational request logs. Authentication emails may include delivery, open or click tracking supplied by the email provider; avoid forwarding sign-in links or codes.

09Your choices and privacy rights

You can edit available profile and language settings, remove saved recordings through the recording controls, stop microphone access and manage your Google connection. Features that depend on missing information may stop working or become less personalised.

To request access, a copy, correction, deletion of your account or learning memories, restriction of processing, or to object or withdraw consent where applicable, email temredalert3@gmail.com. Tell us the account email and what you want us to do; never send your password or a sign-in code. We may need to verify your identity before acting. We respond within applicable legal time limits and explain any exception that prevents full completion.

Depending on where you live, additional rights may apply, including a right to complain to your local data-protection authority. Closing an account and cancelling a paid subscription are separate actions; cancel an active renewal through your account or ask us for billing help.

10Security

We use measures such as encrypted transport, authenticated access, private storage and account-based access controls to protect information. No internet service or AI system is completely secure. Keep your login details private, use a strong password and report suspected unauthorised access promptly.

AI output may be incorrect or reproduce details you provide. Avoid sharing sensitive personal, financial, health or confidential information in practice, conversations or screenshots.

11Children and younger learners

SpeakCapsule is not intended for children under 13. You must also meet the minimum age and permission requirements that apply where you live. If parental or guardian consent is required, obtain it before using the service. Contact us if you believe a child has supplied personal information without the required permission so we can investigate and take appropriate action.

12Updates and contact

We will update this page when our practices change and show the revision date above. For material changes, we will provide an appropriate notice, such as an in-app announcement or email, and seek consent when required.
